Quick Start

Recommended setup order for a new RAVEN LMS site.

Follow this setup sequence when launching RAVEN LMS for the first time. It keeps courses, lessons, exams, certificates, learner records, reviews, dashboards, and reports connected correctly.

Install LMS

Upload and activate the RAVEN LMS plugin ZIP. Confirm the license, add-ons, and required WordPress permissions are ready.

Create Pages

Prepare dashboard, course archive, certificate, transcript, login, register, profile, and support pages.

Configure Settings

Review roles, access rules, sender identity, notifications, anti-cheat settings, theme controls, and default LMS behavior.

Add Courses

Create course records, attach lessons, add materials, set visibility, assign instructor, and define the learner path.

Configure Exams

Add questions, pass rules, attempt limits, timing, exam sequence, and anti-cheat settings.

Connect Certificates

Assign certificate templates, builder designs, validity periods, renewal courses, and LinkedIn organization ID when needed.

Assign Learners

Enroll learners by user, group, department, course, renewal path, or training program.

Certificate Priority

When a learner earns a course certificate, the certificate-earned card appears near the top of the course page and the regular enrolled notice is hidden.

LinkedIn Certificate Sharing

Admins can add a LinkedIn Organization ID to a certificate. If configured, learners see an Add to LinkedIn button on the earned certificate page.

Lesson Completion Styling

Completed lessons display with regular font and a softer faded view. Incomplete lessons remain stronger so learners can easily see what still needs attention.

Sleek Buttons

Course action buttons use consistent width and can be controlled globally from the RAVEN LMS Theme Customizer.

Course Reviews

Admins can enable or disable review display per course. Reviews show as clean course-page cards only when the course setting allows it.

Bulk Title Control

Courses, lessons, and exams support bulk hide or show actions for theme/page title display from the list table.

Core LMS Workflow

RAVEN LMS Core is the source of truth.

RAVEN LMS Core controls course access, lesson progress, exam attempts, pass or fail status, learner assignments, certificate eligibility, renewals, transcripts, reports, and dashboards. Add-ons should extend the LMS without replacing Core learning records.

Important rule: Do not change course-exam associations, practice exam prerequisites, certificate eligibility, learner progress, payment records, or license/add-on verification unless the change specifically requires it.

Courses, Lessons, and Microlearning

Create structured learning programs inside WordPress.

Course setup should define the learner path clearly. Add lessons, materials, completion requirements, exams, certificate rules, and review settings before assigning the course to learners.

Create the course title, description, learning objectives, and overall structure
Add lessons, sub-lessons, materials, resources, and learner instructions
Use microlearning layout for focused lessons and compact learning experiences
Connect practice and main exams when certification requires assessment sequencing

Course Admin Tabs

Use the tabbed course editor to keep every setting in the right place.

The course edit screen uses a clean tabbed layout so administrators can manage public display, access, exams, certificate settings, learners, builder options, and materials without random settings spread across the page.

Overview

Review general course information, summary settings, instructor information, and high-level course configuration.

Course Page

Control front-end course presentation, page behavior, public display, and course-facing content options.

Access

Manage enrollment behavior, learner restrictions, visibility rules, and access-related course settings.

Exams

Link Practice Exam and Main Exam without changing saved exam associations unless intentionally updated by an admin.

Certificates

Manage Certificate Builder assignment first, then legacy certificate template, validity, and renewal workflow below it.

Learners

Review course learners, assignment flow, and related learner administration tools.

Materials

Manage protected course materials and learner-facing download resources.

Builder

Use course builder controls where available without disrupting Core course, exam, and certificate records.

Exams and Assessment Flow

Configure assessments before issuing credentials.

RAVEN LMS exams support structured assessments, certification requirements, workforce readiness, and compliance-style training. Review questions, pass rules, attempts, timers, exam access, and anti-cheat settings before launch.

Build or review the question bank and answer choices
Set pass score, attempt limits, timing rules, and result messages
Use Practice Exam before Main Exam when certification flow requires sequencing
Keep linked exams attached to the correct course before assigning learners
Use Anti-Cheat where exam integrity matters
Test open, locked, passed, failed, retry, and completed states as a learner

Certificates, Expiry, Renewals, and LinkedIn Sharing

Keep certificate access tied to LMS eligibility.

Certificate Builder controls design, preview, template assignment, rendering, print, and download behavior. RAVEN LMS Core controls whether a learner is eligible to receive the certificate and whether the credential is valid, expired, revoked, or ready for renewal.

Design the visual certificate template in Certificate Builder
Assign the Certificate Builder design from the top of the course Certificates tab
Assign the legacy certificate template, validity period, and renewal workflow below the builder selection
Use certificate validity in months, or use 0 for lifetime/no-expiry when appropriate
Add a LinkedIn Organization ID in the certificate edit screen when learners should see an Add to LinkedIn button
Leave LinkedIn Organization ID blank when no LinkedIn button should appear
Test certificate preview, full view, PDF download, verification, expiry, revocation, renewal, and LinkedIn sharing

Certificate ID format: Issued certificate IDs use the RAVEN LMS certificate ID prefix format, such as RVN-2026-000123 or a generated RVN credential ID depending on the certificate flow.

Course Reviews

Control reviews per course and manage feedback from one admin screen.

Course reviews can be enabled or disabled per course. When review display is enabled, learner reviews can appear on the course page as review cards and can support Course schema output. When review display is disabled, the course page does not show the review card area.

Course-Level Control

Admins can turn review display on or off for each course from the course settings area.

List-Wise Admin View

The Reviews admin page uses a practical list layout for reviewing, editing, hiding, and deleting learner feedback.

Frontend Review Cards

Reviews appear as clean learner-facing cards only when the course setting allows public display.

Schema Awareness

When enabled, course review data can support rich-snippet style Course schema output.

Learner Experience

Keep the learner journey clear from enrollment through certification.

The learner-facing course page prioritizes the most useful status message. Active learners see their enrollment and progress. Learners who complete the course and earn a certificate see the certificate-earned card near the top of the course page.

Enrolled Learners

When enrolled but not completed, learners see the enrolled notice and can continue lessons, exams, and course activity.

Certificate Earned

When the certificate is earned, the certificate card becomes the priority message near the top of the course page.

Lesson Progress

Incomplete lessons remain visually strong. Completed lessons become regular weight with a softer completed view.

Certificate Actions

Learners can see the certificate, open full view, download PDF, and add to LinkedIn when configured by the admin.

Dashboard

Learners can review assigned courses, progress, certificates, transcript, profile, and account tools from dashboard pages.

Messaging

When messaging is active, learners can communicate with instructors from the LMS interface.

Theme, Buttons, and Frontend Presentation

Use the RAVEN LMS Theme controls for a cleaner front-end experience.

The RAVEN LMS Theme controls the learner-facing presentation, course hero behavior, header options, page title visibility, maintenance mode, and global LMS button styling.

Open Appearance > Customize > Raven LMS Theme to manage front-end theme settings
Use Buttons and CTA to adjust the global LMS action button width
Keep Associated Exam action buttons the same sleek width for Open Exam, Practice Required, and locked states
Use bulk actions on Courses, Lessons, and Exams to hide or show theme/page title display
Use maintenance mode when updating design or content on a production LMS site

Shortcodes

Place LMS content anywhere inside WordPress pages.

The Shortcodes admin page provides a copy-ready directory and lightbox view for common LMS page elements. Shortcodes do not bypass enrollment, exam, certificate, security, or learner eligibility checks.

Conditional display helper: Catalog shortcodes can use show_when="always", show_when="logged_in", show_when="logged_out", or show_when="assigned". For assigned-only display, include course_id="123". These conditions only control display and do not bypass LMS security.

AI Tools

Use AI to draft content, not to bypass administrator review.

AI tools can accelerate course publishing, lesson drafting, quiz preparation, learner summaries, and content planning. Administrators should review all AI output before publishing or adding questions to an exam bank.

Troubleshooting

Quick checks before opening a support request.

Most LMS issues are caused by missing assignments, incomplete lesson states, exam status, certificate rules, page configuration, login restrictions, add-on setup, or theme display settings.

Learner cannot access course

Check login status, assignment, role, course restriction, and group or department rules.

Progress incomplete

Review lesson completion, required exams, course workflow, and learner activity.

Certificate not showing

Check completion, exam pass status, certificate template assignment, builder assignment, validity, and eligibility.

LinkedIn button missing

Open the certificate edit screen and confirm the LinkedIn Organization ID is filled. If empty, the button is intentionally hidden.

Certificate card position

If the certificate is earned, the certificate card should appear near the top of the course page and the enrolled notice should be hidden.

Review cards not showing

Check the course review display setting and confirm visible reviews exist for that course.

Transcript missing activity

Check learner completion records, exam attempts, certificate records, and user account match.

AI generation not working

Check AI provider settings, selected mode, post type target, suggestions, and server errors.

Add-on issue

Confirm the add-on is installed, activated, compatible, licensed where required, and configured.

Admin access issue

Check login state, maintenance mode settings, security rules, and administrator permissions.
